Our policies

At Includa, we believe that clear communication and professional standards are essential to providing consistent, high-quality support. Our policies help ensure a positive experience for children, families, schools, and our Shadow Teachers.

1Service & Placement

  • Each child receives support based on their individual needs and agreed service plan.
  • Includa carefully matches Shadow Teachers with children based on experience, skills, availability, and the child’s support requirements.
  • A Shadow Teacher’s role is to provide educational, behavioral, social, and classroom support within the agreed scope of service.
  • Includa does not guarantee a specific academic, behavioral, or developmental outcome.

2Payment Policy

  • Includa operates on a monthly payment-in-advance system.
  • Monthly fees are based on the agreed service arrangement and reserved availability of the Shadow Teacher.
  • Payments must be made by the agreed due date.
  • Services may be paused if payments remain outstanding.

School Breaks & Child Absence

To maintain continuity and reserve the Shadow Teacher’s availability:

  • Fall Break

    Paid
  • Winter Break

    Paid
  • Spring Break

    Paid
  • Child absence from school

    Paid

    Including illness, family travel, appointments, or personal reasons.

  • Summer Break

    Not charged

    Under the standard service arrangement.

If the family chooses to continue support during the summer, this will be arranged separately with Includa.

3Attendance & Punctuality

We expect Shadow Teachers to be punctual, reliable, and prepared for each working day.

If a Shadow Teacher is unable to attend, Includa will make reasonable efforts to provide an appropriate replacement where possible.

Parents are expected to inform Includa of significant changes to the child’s attendance or schedule as early as possible.

4Replacement Policy

Includa may provide a replacement Shadow Teacher when necessary due to:

  • Illness or emergency
  • Resignation
  • Scheduling changes
  • Performance concerns
  • School requirements
  • Other operational circumstances

We aim to make transitions as smooth as possible and maintain continuity of support.

5Communication

We believe in open and respectful communication between families, schools, Shadow Teachers, and Includa.

Parents are encouraged to share relevant information about their child’s needs and progress.

For concerns involving payment, contracts, service changes, complaints, or major issues, parents should contact Includa Management directly.

6Professional Boundaries

Our Shadow Teachers are expected to maintain professional boundaries at all times.

Without prior approval from Includa, parents should not request Shadow Teachers to provide additional private services such as:

  • Babysitting
  • Private tutoring
  • Personal errands
  • Unapproved transportation
  • Additional working hours

Parents should also not arrange direct private employment with an Includa Shadow Teacher without written approval from Includa.

7School Policies

Our Shadow Teachers work within school environments and are required to respect and follow the policies and procedures of each school. This includes:

  • Safeguarding procedures
  • Attendance requirements
  • Health and safety procedures
  • Confidentiality
  • Dress code
  • Classroom expectations
  • School communication procedures

Where a school policy applies, it must be respected by the Shadow Teacher.

8Child Safety & Safeguarding

The safety and wellbeing of every child is our highest priority.

Any significant safety concern, injury, safeguarding concern, or serious incident must be reported through the appropriate Includa and school procedures.

Our Shadow Teachers do not use physical punishment, threats, humiliation, or inappropriate disciplinary methods.

9Confidentiality & Privacy

Includa respects the privacy of children and families.

Information relating to a child, family, school, assessment, or support plan is treated as confidential and is only shared with appropriate individuals for professional purposes.

Shadow Teachers are not permitted to share photographs, videos, school information, or identifying information about children on personal social media.

10Changes to Services

Any changes to the following must be discussed and agreed with Includa in advance:

  • Working hours
  • Number of days
  • School location
  • Transportation arrangements
  • Scope of support
  • Service requirements

Changes may result in an adjustment to the service fee.

11Cancellations & Termination

Families wishing to discontinue services must provide written notice according to the agreed notice period.

Any outstanding payments must be settled before the service is formally concluded.

Includa reserves the right to terminate services in cases of serious misconduct, repeated non-payment, inappropriate behavior, or significant violation of our policies.

12Respectful Environment

Includa is committed to creating an inclusive and respectful environment for every child, family, Shadow Teacher, and school.

We do not tolerate:

  • Harassment
  • Threatening behavior
  • Discrimination
  • Bullying
  • Verbal abuse
  • Intimidation
  • Inappropriate communication

Concerns should always be raised professionally with Includa Management.

13Policy Updates

Includa may update these policies from time to time to improve our services and ensure clear and effective procedures.

Parents and Shadow Teachers will be informed of any significant changes that affect their service or working arrangements.
